Job summary

The Marketing and Events Officer is responsible for in-house events, planning, coordinating, and executing marketing campaigns and events that align with the RAS’s goals. This role requires creativity, excellent organisational skills, and the ability to manage multiple projects simultaneously. The Marketing and Events Officer will work closely with internal teams, external partners, and stakeholders to ensure successful event delivery and effective marketing communications.

Key responsibilities

Marketing Campaigns

  • Develop and implement marketing campaigns to promote events, programs, and services
  • Create engaging content for various channels, including social media, email, and website
  • Monitor and analyse campaign performance, providing reports and recommendations for improvement

Event Planning and Coordination

  • Plan, organise, and execute events, including conferences, seminars, workshops, and social gatherings
  • Coordinate all logistical aspects of events, including venue selection, catering, AV requirements, and guest management
  • Develop event timelines, budgets, and detailed project plans
  • Overall responsibility for hiring of the building
  • Organise goods and stands to be couriered to events/conferences. Collate and send outreach material 
  • Be the main point of contact for Specialist Discussion Meetings (SDM), catering and lunches ordered for all Council and committee meetings
  • First port of call for Specialist Discussion Meetings; room booking, catering, AV assistance etc
  • Overall responsibility the A&G Highlights meeting, assigning a moderator etc
  • Assisting with all relevant in-house meetings i.e. Council, Committee
  • Manage system logistics, hosting and recording for RAS public lectures and Highlights Meetings
  • Support and deliver public events at BH such as Courtyard Lates and Open House, and the monthly public lectures
  • Represent the Society at relevant events such as the National Astronomy Meeting, the European Astronomical Society and the UK Space Conference
  • Overall responsibility for the AGM, Public Lectures, Friends Lectures, Specialist Discussion Meetings, A&G Highlights Meetings
  • Assisting with setting up the A&G Highlights meeting, assigning a moderator etc
  • Assisting with NAM; awards dinner, accommodation etc
  • Working closely with other teams within the RAS and courtyard societies
  • Supporting the Library, Education and Outreach departments

Promotion and Publicity

  • Design and distribute promotional materials such as flyers, brochures, and press releases in collaboration with the Communications Officer
  • Collaborating with the Communications Officer to utilise social media, email marketing, and other digital platforms to increase event visibility and engagement within brand guidelines
  • Manage relationships to secure coverage and publicity for events

Stakeholder Management

  • Build and maintain relationships with key stakeholders, sponsors, and partners
  • Communicate effectively with all parties involved to ensure alignment and successful collaboration
  • Provide excellent customer service to event attendees, addressing inquiries and concerns promptly
  • A good ‘people’ person

Evaluation

  • Collect and analyse data from marketing campaigns and events to measure success and ROI
  • Use insights to improve future marketing strategies and event planning processes
  • Maintain accurate records of all activities and outcomes

Team Collaboration

  • Work closely with all teams to ensure cohesive and effective marketing efforts
  • Participate in brainstorming sessions and contribute creative ideas to enhance marketing initiatives and event experiences
  • Provide front of house support as and when required

Continuous Improvement

  • Stay updated with industry trends, best practices, and emerging technologies in marketing and event management
  • Seek opportunities for professional development and skill enhancement
  • Implement new strategies and tools to improve efficiency and effectiveness

Qualifications

Education

  • Desirable - Bachelor’s degree in Marketing, Communications, Event Management, or a related field

Experience

  • Proven experience in marketing and event management
  • Experience with digital marketing tools and platforms, including social media, email marketing, and content management systems

Skills

  • Strong organisational and project management skills
  • Excellent written and verbal communication skills
  • Creative thinking and problem-solving abilities
  • Proficiency in Microsoft Office Suite and marketing software (e.g., Adobe Creative Suite, Google Analytics)
  • Ability to work under pressure and meet deadlines
